How to prepare for investor meetings using targeted search

Prepare for investor meetings, conferences, or travel by quickly identifying relevant contacts and companies in your target location or matching specific criteria. This workflow uses Find in View to surface the right people and organizations, then jump directly to their profiles for review. What you’ll accomplish: Build a focused list of investors, companies, or contacts to engage with during your trip or meeting series, complete with context from your CRM. Who it’s for: Partners, investment professionals, business development teams, and fundraising leads preparing for travel or investor engagement. When to use this: Before investor conferences, city-specific travel, LP roadshows, or when planning targeted outreach campaigns.Prerequisites
- Access to your investors, companies, or contacts list in New Lists
- Location data populated in your CRM (HQ Location, Office Location, etc.)
- Understanding of which investors/companies you want to engage
Workflow Steps
Step 1: Filter to Your Target Audience
Scenario A: Travel-based meetings- Open your investors or companies list
- Click Filters → Add condition
- Location → is any of → Select target cities
- Example: “San Francisco”, “Palo Alto”, “Menlo Park” for Bay Area trip
- Add secondary filter: Investment Status → is any of → “First Meeting”, “Introduction”
- Sort by Last Contact → Oldest first to prioritize relationships needing attention Scenario B: Stage or sector-specific targeting
- Filter by Investment Stage → has any of → Select your fund’s stage (e.g., “Series A”)
- Filter by Focus Area → has any of → Select relevant sectors (e.g., “FinTech”, “AI/ML”)
- Filter by Connections → Score → is greater than → 50 (warm introductions only)
Step 2: Use Find in View for Quick Lookups
To find specific investors or companies:- Use Find Entries scope (searches names only)
- Type investor firm name or contact name
- Press Enter to jump to that entry
- Review profile preview or click to open full profile To search by keywords across all fields:
- Use Find Anywhere scope
- Search for keywords relevant to your meetings:
- Growth stage investors (e.g., “Growth”)
- Investment themes (e.g., “climate tech”, “biotech”)
- Notable people (e.g., “Google” to find ex-Google executives)
- Yellow highlights show where keywords matched in Notes, custom fields, or other data
Step 3: Build Your Meeting List
Review each relevant entry:- Click into company/investor name to open profile
- Review key information:
- Recent Notes about relationship status
- Last Contact date and type
- Connection Score with your team
- Portfolio overlap or investment thesis fit
- Make note of:
- Who on your team should attend
- What to discuss based on CRM notes
- Any pending follow-ups or introductions needed Export or share your list:
- Save this filtered view with a descriptive name (e.g., “SF Trip - Nov 2025”)
- Share view with travel companions
Step 4: Prepare Meeting Context
For each scheduled meeting:- Use Find in View → Find Entries to quickly jump to that investor/company
- Review Notes panel for recent conversation history
- Check Connections panel for team relationship strength
- Update any outdated information before meeting
- Add reminder for post-meeting follow-up
Step 5: Post-Meeting Updates
After each meeting:- Use Find Entries to navigate back to the entry
- Add Note summarizing key takeaways
- Update Status or Investment Interest fields
- Set Next Steps for follow-up
- Update Close Date if timeline changed
Expected Outcome
- Curated list of target investors/companies for your specific context
- Clear understanding of relationship history and warm introduction paths
- Efficient meeting preparation with relevant context at your fingertips
- Updated CRM records post-meetings with action items and next steps
Tips & Best Practices
Advanced Search Combinations:- Filter by location + sort by Connection Score to prioritize warm intros in target city
- Search Notes for specific keywords (e.g., “interested in” + Artificial Intelligence) to find thematic fit
- Use Find Anywhere to search for names of mutual connections or references Meeting Preparation Efficiency:
- Create saved views for common travel destinations (NYC, SF, London, etc.)
- Use Find Entries during back-to-back meetings to quickly pull up next investor
- Keep your list view open during travel for instant context lookup Relationship Management:
- Sort by “Last Contact > Oldest First” to identify relationships needing revival
- Filter by “Connection Score > 70” for highest probability meetings
- Search for portfolio company overlap to find natural conversation starters Performance Notes:
- Apply filters before searching to reduce dataset size
- Use Find Entries (not Find Anywhere) for fastest name lookups
- Remember: only first 100 visible fields are searched
Example Use Case
Marcus, a General Partner, is heading to San Francisco for a 2-day LP roadshow: Day before travel:- Opens his LPs list and filters:** Location** → “San Francisco”, “Palo Alto” + Fund I Participation → is none of → “Committed”, “Invested” (targeting new LPs)
- Sorts by AUM → High to Low to prioritize largest prospects
- Reviews 12 matching results
- Uses Find Anywhere to search “infrastructure” (his fund’s focus) across notes and fields
- Identifies 4 LPs with notes mentioning infrastructure interest
- Schedules meetings with those 4 + 2 others with strong Connection Scores During meetings:
- Between meetings, uses Find Entries to quickly search “CalPERS” and pull up that LP’s profile
- Reviews Notes panel for conversation history from 6 months ago
- References key points about their investment criteria from Notes After meetings:
- Uses Find Entries to navigate to each LP he met
- Adds detailed notes about investment appetite and timeline
- Updates “Next Meeting” date field for follow-ups
- Sets reminders for sending follow-up materials Result: Successfully engaged 6 LPs with personalized conversations, secured 2 follow-up meetings, and kept CRM updated in real-time.
