How to audit data completeness and team performance

Overview

Identify data gaps and track team activity by filtering on empty fields, note creation dates, and meeting cadence. This workflow (only in New Lists) uses “is empty” operators, date ranges, and custom field validation to maintain CRM data quality and assess team performance.

Steps

Scenario 1: Find companies with no recent notes for performance audit

  1. Open your companies or deals list.
  2. Click Filters+ Add condition.
  3. Notes → Created Dateis not within the last → **3 months OR Notes → ****Content **→ is empty
  4. Sort byOwnerA to Z
  5. Add secondary sort: Last MeetingOldest first
  6. Click Apply.

Scenario 2: Audit incomplete next steps documentation

  1. Create a new filter: Next Steps (custom text field) → is empty AND Last Meetingis not empty (companies we’ve met with)
  2. Sort byLast MeetingNewest first
  3. Click Apply.

Scenario 3: Identify orphaned records without owners

  1. Filter for unassigned entities: Owneris empty AND Last Contactis within the last6 months (active records)
  2. Sort byLast ContactNewest first
  3. Click Apply.

Expected Outcome

  • Scenario 1: Companies lacking recent notes, organized by owner to identify team members needing coaching
  • Scenario 2: Deals with recent meetings but missing next steps documentation, prioritized by meeting recency
  • Scenario 3: Recently active companies without assigned owners, ready for team assignment

Tips/Warnings

  • Notes → Created Date filters by when notes were added, not modified—replies don’t count.
  • Use is not within the last to find records OLDER than the specified timeframe.
  • OR conditions with is empty help catch both stale data AND missing data.
  • Create Saved Views for monthly data audits to track team improvement over time.
  • Last Meeting vs. Last Contact—use Meeting for formal touchpoints, Contact for all engagement.
  • Export these audit results to track data quality metrics in external dashboards.
