When setting up email aliases for your team members or adding alternate email addresses for a contact, you can also set up Affinity for Salesforce to combine the email and meeting activities across multiple email addresses under a single profile so that you can see all the relevant context and engagement history for that given contact in Salesforce.

How to merge alternate email addresses and activities for Salesforce Contacts

If you’re engaging with a contact across multiple email addresses, you can use Affinity to keep track of all these interactions under a single contact.
  • Example: You can use this capability to track activities with a contact’s Executive Assistant to see their entire engagement history without creating unnecessary contact records.
  1. Sign into your Affinity instance, then click on Settings in the top-right corner.
  2. Go to the Salesforce integration and select your active configuration. From there, scroll down until you see Set up Merge Rules. Then, make sure to toggle on Merge activities into one email.
  3. Next, you’ll want to create one (or more) email type field(s) in Salesforce on the contact.
Note: If you already have an alternate email address field in Salesforce, you can use that instead. 4. Next, select the field you’ve created in the dropdown. Select all of the email fields that you want Affinity to merge. 5. Once complete, Affinity will merge all activity for these email addresses and assign them to the appropriate contact records. Note: This will happen during the next Affinity sync (once a day), so there may be a slight delay. 6. Once merged, all the activity from a contact’s multiple email addresses will show up in the Salesforce Activity Timeline and any Affinity Activity views.
  1. Now, when one of your team members updates the “Alternate Email 1” field in Salesforce, all activities related to that email address will be merged as shown above. In addition, the enrichment field “Known Email Aliases” will update to include all of the alternate email addresses your team provides, as well as any email aliases the Affinity Data Platform is aware of.

How to add email aliases for internal team members

If your internal team uses multiple email addresses and email aliases to communicate with clients, Affinity can support merging and tracking their activities from a single user to ensure that your firm’s activity history is more complete. Whether you’re creating and inviting a new user who uses an email alias or adding an email alias to an existing user, you can contact your Affinity for Salesforce Customer Success Manager to assign the email alias to the user.
