Immediate Value

After this tutorial, you’ll set reminders for follow-ups, attach files to profiles, filter interactions by team member, and understand how external data syncing keeps your CRM current.

Why Team Collaboration Matters

When a full team shares lists, sets reminders, attaches files, and filters by each other’s activities, the CRM becomes a shared system of record. Solo use limits Affinity’s value — the platform is designed around team-wide visibility into relationships and pipeline.

Task 1: Set a Reminder for Follow-Up

Context

Reminders ensure follow-ups don’t fall through the cracks. Set them immediately after calls while context is fresh.

Action

  1. On any profile, click the dropdown menu (top-right, ⋯ icon)
  2. Select “Set Reminder”
  3. Choose date and time
  4. Add context (e.g., “Follow up on Q2 fundraising discussion”)
  5. Assign to yourself or a teammate
  6. Click “Create” Common intervals:
  • 3 days: Urgent follow-up
  • 1 week: Check-in after meeting
  • 1 month: Re-engage dormant relationship
  • Quarterly: LP reporting cadence
Assign reminders to teammates when you need them to follow up. They’ll receive a notification. Useful for partner-to-associate hand-offs.

Expected Outcome

You receive a notification at the scheduled time with your context note.

Task 2: Attach Files to Profiles

Context

Pitch decks, term sheets, due diligence docs, and board presentations can be attached directly to the relevant profile so the whole team can find them.

Action

  1. Open the relevant profile
  2. Click the “Files” tab
  3. Click “Upload” or drag and drop a file
  4. The file is now linked to this entity Where to attach what:
  • Pitch decks → Company profile
  • Term sheets → Opportunity record
  • Board materials → Portfolio company profile
  • LP agreements → LP profile
Files attached to a profile are accessible to anyone with list access — no need to dig through email threads.

Expected Outcome

The file appears in the profile’s Files tab, accessible to all team members with list access.

Task 3: Filter Interactions by Team Member

Context

Before a meeting, you might want to see only YOUR interactions with a contact, or only a specific partner’s history. The interaction filter lets you do this.

Action

  1. Open any profile
  2. Scroll to the Activity Timeline
  3. Click “Filter Interactions” above the timeline
  4. Select a team member to see only their interactions
  5. Or filter by type (emails, meetings, notes)
Meeting prep workflow: Before a call with a company, filter the timeline to see the last partner who interacted with them. Read their notes. You’ll walk in with full context.
Affinity automatically filters certain low-signal items from the Activity Timeline: subject lines starting with “Accepted:” / “Declined:” / “Tentative:”, and emails sent to 5+ recipients (treated as bulk/broadcast, not 1:1 outreach).

Expected Outcome

The activity timeline shows only interactions from the selected team member.

Task 4: External Data Sync

Context

Affinity stays current by syncing with your email, calendar, and enrichment sources. Understanding what’s syncing helps you trust the data.

Action

Check your sync status:
  1. Go to SettingsIntegrations or Email Sync
  2. Verify your email account is connected and syncing
  3. Check the last sync timestamp What syncs automatically:
  • Emails (metadata: sender, recipient, timestamp, subject — content sync depends on your privacy settings)
  • Calendar events (attendees, time, duration)
  • Enrichment data from Crunchbase / Dealroom (🟢 green fields on company/people profiles) Field colors recap:
  • 🔵 BLUE = global field (shared across all lists)
  • BLACK = list-specific field
  • 🟢 GREEN = enriched from external sources (Crunchbase, Dealroom)
Editing a 🟢 green (enriched) field permanently stops auto-updates for that field on that entity. If you overwrite an enriched value, Affinity will not refresh it from the enrichment source again.
Email sync is the foundation of Relationship Intelligence. If your email isn’t synced, RI strength indicators won’t reflect your actual relationships. Ensure it’s connected.
If your team uses Affinity Notetaker, meeting notes can be auto-captured and attached to the relevant profile — reducing the manual step of writing up calls.

Expected Outcome

You’ve confirmed your email and calendar are syncing, and you understand what data flows into Affinity automatically.

No. Reminders can only be assigned to Affinity users within your organization.
Yes. Check your organization’s plan and admin settings for specific limits.
Yes. The Activity Timeline and Connections tab both show which team members have interacted with any entity, with relationship strength indicators.
Profiles include several tabs. The most commonly used are Overview, Connections, Notes, Reminders, and Files. Depending on your configuration, you may also see Introductions, AppEmbed, and NewsInsights.
