As you sign into Affinity for the first time, Affinity will start automatically syncing your email and calendar data to eliminate manual data entry as much as possible. Whether archived email syncs depends on where the archive actually lives — not on the fact that it has been archived.

Gmail

Archived emails in Gmail already sync into Affinity. Archiving in Gmail moves the message to All Mail, which is still part of your mailbox, so nothing extra is needed.

Outlook

Outlook has two different things called “archive,” and they behave differently.

The Archive folder — syncs

The standard Archive folder is part of your primary mailbox, so emails you archive there do sync to Affinity. No action needed.

In-place / online archive — does not sync

An in-place archive (also called an online archive) is a separate mailbox your organization’s admin provisions, usually to manage mailbox storage. Because it is its own mailbox rather than a folder inside yours, Affinity does not sync it. See Microsoft’s guide to in-place / online archive mailboxes. To get those emails into Affinity, move or copy them from the in-place archive into any folder in your primary mailbox. They will sync from there.

Important Callouts

  • Not sure which kind you have? An in-place / online archive appears as a separate mailbox in the Outlook folder pane, usually below your primary mailbox. A plain Archive folder sits inside your primary mailbox, alongside Inbox and Sent.
  • If your emails are already synced to Affinity, moving them into your archive will not remove them from Affinity — they remain as is.
