What is a shared inbox? Why is it used?
- A shared inbox is a virtual mailbox that can consolidate emails from one or more email accounts.
- A shared inbox allows for increased visibility and operational efficiency.
- Example: An executive assistant can connect a few of their executives’ email accounts to the shared inbox, which will help them read all incoming emails and provide timely replies in a streamlined manner (without necessarily having access to the executives’ passwords).
Can you sync shared inboxes into Affinity?
- No. You must individually sync the email accounts themselves (see How to add or remove your synced email accounts from Affinity).
What is an email alias? Why is it used?
- An email alias is a way to receive email without exposing your actual email address. All emails sent to an alias are forwarded to your primary email account’s inbox. Email Aliases can diversify a single email account without having to pay for multiple inboxes.
- Example 1: If you have “john.doe@company.com” as your primary email account and you create “info@company.com” as an email alias, all emails sent to “info@company.com” will be forwarded to “john.doe@company.com”. When replying to these email, John can use his email alias so that the recipient never sees “john.doe@company.com”.
- Example 2: Jane Doe owns a small VC firm. She wants to create multiple email addresses for her business, but have all emails delivered to a single inbox. In addition to her primary email address “jane.doe@company.com”, she creates three email aliases:
- info@company.com for general inquiries
- billing@company.com for billing inquires
- support@company.com for support inquiries
Does Affinity sync email/calendar data from email aliases?
- Yes, but only for email aliases that have their own primary email addresses that are connected to an actual email account. This requires a license from your email provider.
- Sign in and sync your actual email account into Affinity and you should see the email/calendar interactions associated with your email alias surface accordingly.
How to find out which is the actual email address and which is the email alias
- Please reach out to your IT team to confirm which is your email alias and which is your actual email address (SMTP).
How do I invite a user with an email alias to my Affinity account?
For Affinity CRM users
- First, find out which is the actual email address and which is the email alias by reaching out to your IT team to confirm.
- Then, send an invite out to the user via their actual email address (see How to add new users to your Affinity account).
- Once they receive the invite in their email inbox, they can sign in using their actual email address and password.
For Affinity for Salesforce users
- Reach out to your Affinity CSM or point of contact and provide them with the following:
- Users’ full names
- Users’ email addresses
- Users’ email aliases
