Duplicate Management center (Admins only)
If you are an admin (or an Enterprise Admin on the Enterprise tier), you can manage duplicates in one place through the Duplicate Management center.
- Click on Settings on the left side of your screen.
- Scroll down and click the Duplicate Management tab. You can click on either the Organizations tab or the People tab based on which entity type you'd want to focus on.
- At any given moment, you can find out how many total duplicates Affinity has potentially identified across your account.
- You can also sort by Highest confidence (based on Affinity's algorithm) to make your merging decisions more quickly (see Step 5 below).
- For each pair of duplicates, choose one of the three options:
- Smart Merge - This will combine notes, interactions, reminders, files, and global field values from the Duplicate contact and merge them onto the Primary contact.
- Skip (will resurface after 14 days)
- Keep Both
- Smart Merge - This will combine notes, interactions, reminders, files, and global field values from the Duplicate contact and merge them onto the Primary contact.
- If there are many duplicates, you can jump across different pages to quickly navigate back to a desired section.
Merging duplicates one by one (All user types)
If you are not an admin, you can still merge duplicates by following the steps below.
- Go to the profile page of the person/organization that will be the main contact you'd like to keep as the primary.
- Click the ellipsis (3-dotted icon), then click Merge duplicate.
- Type in the name of the duplicate you’d like to merge into the main contact, then click Merge.
Note: You can merge contacts for people-type and organization-type contacts, but not for opportunity-type contacts due to their unique nature.
