What happens when you sync your email account into Affinity?
As you sign into Affinity for the first time, Affinity will start automatically syncing your email and calendar data to eliminate manual data entry as much as possible.

Syncing your email data
- Based on your email interactions, Affinity will auto-create people-type contacts for you if there are full names associated with each email address (see When does Affinity auto-create contacts?). These people-type contacts will be added to your All People directory.
- Based on the people-type contacts that are auto-created, Affinity will also auto-create organization-type contacts for you if the person's email domain matches the organization's URL.
- Example: If you've interacted with "Jane Doe <jane.doe@airbnb.com>", then Jane Doe will be auto-created as a contact and the organization Airbnb (airbnb.com) will also be auto-associated with Jane Doe. These organizations will be added to your All Organizations directory.
- To sync emails within an archived folder, you must do the following:
- First, copy the archived folder to make a duplicate.
- Then, move the duplicate archived folder into your Inbox.
- After your archived emails finish syncing, feel free to delete the duplicate archived folder.
- If your archived folder has too many emails and therefore exceeds your storage limit, Affinity will only sync those within the storage limit.

Syncing your calendar data
- If you're syncing your work email account and have it set up so that it has edit access to your personal email account's calendar data as well, then your personal calendar data will be treated the same as your work calendar data and therefore sync both calendars into Affinity.
- To make sure your personal calendar data get removed from Affinity, you must:
- Go to your personal calendar's Settings.
- Then, under the Settings for my calendars tab, click the dropdown for your personal email account.
- Then, click Share with specific people and make sure the preference is set to See all event details, not Make changes to events.
- Your personal calendar events should disappear from Affinity within the next 2-3 days.
- After 2-3 days, click into an external contact's profile page to see that your personal calendar data should now be removed accordingly.
- If you still notice your personal calendar data surfacing on profile pages, send an email to support@affinity.co with examples and we'd be happy to take a deeper look.
- Go to your personal calendar's Settings.
Syncing frequency
When you first sign in, Affinity will sync everything in your Inbox folder, from the oldest email to the most recent email you had. Depending on how many emails you have, it may take several hours.
Once syncing is up-to-date, Affinity will continue to sync your data on an on-going basis.
- Gmail accounts sync new data every 4-6 minutes.
- Microsoft Office365 accounts sync new data every 6-8 minutes.
- Microsoft Exchange (On-Prem) accounts sync new data every 6-8 minutes.
Data and Folder Types not supported for sync
Here are the few data and folder types that Affinity does not sync:
- Gmail
- Chat, Draft, Spam, Trash
- Gmail Contact Book
- Shared Folders
- Microsoft Office365 and Microsoft Exchange (On-Prem)
- Clutter, Conflicts, Conversation Action Settings
- Deleted Items, Drafts, Journal, Junk, Junk E-Mail
- Local Failures, Server Failures
- Notes, Outbox, Quick Step Settings
- RSS Feeds, RSS Subscriptions
- Shared Folders
- Suggested Contacts, Sync Issues, Tasks, PersonMetadata
- Microsoft Office365 Contact Book
- We only sync Exchange (On-Prem) Contact Books at the moment
